Responsibilities and activities:
Vendor management & logistics
Oversee the vendor selection and vendor management process, particularly for technical procurement, looping in other team members in where required
Manage communication and coordinate operational documentation between Fortify Health’s program and M&E teams, vendors, and Development Consortium’s legal team
Lead on maintaining inventory of equipment, premixes etc.
Charity status and grant compliances
Section 8 entity: Coordinate with Fortify Health’s director and CA to oversee compliances Fortify Health’s Section 8 entity, including bank account maintenance, receipt of 80G and 12A licence, and compliances to receive FCRA
UK registration: Support Associate Director of Operations to complete the charity registration process in the UK
Human resources and team culture
Lead operations onboarding presentations for new joinees
Lead the provision of support and guidance for new employees during onboarding, and during the exit process
Support with travel arrangements for staff, and update travel policies with the CEO and Associate Director of Operations as the COVID-19 shifts over time
Support Associate Operations Director to develop and document new processes and policies for the team as the organisation evolves, and communicate these with the full team
Support Fortify Health’s operations team in improving our hiring process, and building efficiency in the hiring process
Ensure a high level of morale across the organisation by coordinating the CEO and Operations Officer on developing supportive internal communications systems, and building structure around team socials/team building activities
Learning and development
Continuously learn about new operations procedures and how we can improve ours at FH
Develop a structured L&D tracking system for Fortify Health’s team members to ensure team members are receiving adequate opportunities, and to document lessons
IT
Support Associate Director of Operations with migration of Fortify Health’s drive to Google Workspace
Set up and manage secure data management, and data protection systems at Fortify Health
Map out the logic of Fortify Health’s drive with Associate Director of Operations, and optimise the structure
Requirements
Five or more years experience / background in NGO operations or industry operations, accounting, administration, or similar in India
Bachelors or higher degree in related field, like Finance. Any professional degree in Finance (CMA,CA – intermediate, CFA) will be an added advantage but not limiting.
Ability to make good decisions quickly, and strong sense of intuition and judgement
Excellent organisational skills and ability to multitask
Excellent documentation skills
Strong written and verbal communication skills, with a proven ability to manage relationships between various stakeholders, and relay important information clearly and concisely, especially when relating to legal or financial issues
Ability to learn quickly, and ask important and relevant questions about new topics to get to the right answers, i.e. strong problem-solving skills
Ability to work well independently, as well as with others
Excellent attention to detail, especially when dealing with numbers, contracts and budgets
Proven ability to manage professional relationships and to work under pressure
Willingness to travel depending on project needs
Willingness to relocate to Mumbai, Pune or Nagpur
Authorisation to work in India (Indian national, eligibility for OCI, etc.)
Fluency in English and Hindi
Desirable attributes
Understanding of NGO compliances in India and FCRA acquisition process
Experience working with remote team members
Experience working independently
Relevant experience in NGO field environment

Terms of employment: Contract for one year, renewal by mutual agreement
Salary and benefits: INR 73,500 per month
