Expected terms of reference for this recruitment are listed as following;
2.1 Handle Daily/ Monthly/ Quarterly/ Annual Routine tasks of Accounting
2.1.1 Prepare payment documents from the JICA’s accounting system with well understanding of the Accounting rules/regulations of India and JICA India Office.
2.1.2 Summarize necessary documents and prepare payment documents for bank transfer.
2.1.3 Handle petty cash under the supervision by Japanese and Indian staff members of Accounting team of JICA India Office and check the balance on Daily basis.
2.1.4 Summarize monthly TDS amount and prepare for payment with deep understanding of tax regulations.
2.1.5 Understand the financial cycle of JICA India Office and complete all necessary payments within the deadline.
2.2 Engage in Accounting tasks for smooth and efficient office operation
2.2.1 Communicate with both Operation team and Administration team to proceed accounting procedure as planned.
2.2.2 Manage payment schedule of the office under the supervision by and in cooperation with Japanese and Indian staff members of Accounting team of the office and follow up until the completion of payment.
2.2.3 Propose ideas and suggestions to be improved for more efficient accounting procedures and materialize them with cooperation of team colleagues.
2.3 Accounting tasks related to Procurement
2.3.1 Understand the payment conditions of contract between vendors/consultants and JICA India Office.
2.3.2 Inspect invoices/ record of activities to be able to pay for purchasing equipment/ procuring services.
2.3.3 Communicate with Officer in Charge of the procurement/ project if there is a discrepancy to submitted invoices/ record of activities.
2.3.4 Summarize all necessary documents and proof of evidence required for payment
2.3.5 Check situation and immediately take actions when any problem occurs to the office properties.
2.4 General administrative matters
2.4.1 Handling wide range of works related to administrative matters under supervision by and in cooperation with Japanese and Indian staff members of the Administration team of the Office.
2.4.2 Other administrative works which Chief Representative deems necessary.

3 Requirements
3.1 Candidates interested in applying for Administration Officers handling above -listed tasks at JICA India are required to have the followings:
3.1.2 Minimum academic background of university graduation.
3.1.3 Minimum 5 (five) years of professional working experience in a similar field. Practical expertise and working experience in accounting, in particular in public sector (international, multilateral organization, or governmental organization), will be advantage.
3.1.4 Strong command for handling numbers, including MS Excel.
3.1.5 Medium command skills of office-working software, such as MS Word, MS Power Point, and MS Windows.
3.1.6 Warm-hearted and respectful of colleagues and counterparts, and strong willingness to take initiative to contribute to teamwork.
3.1.7 Implement/ complete tasks by oneself from the beginning till the end with a planned time schedule.
3.1.8 Being able to challenge new tasks with proactive manner together with well understanding of the rules and manuals determined by JICA Head Office.
3.1.9 Some Japanese language skill is preferable.
3.2 Candidates that have any of the following shall declare such a fact upon application, whereas JICA reserves its rights to take into account such facts during the selection process:
3.2.1 Criminal records;
3.2.2 Any involvement in past/current court cases;
3.2.3 Prohibition to travel; or,
3.2.4 Any other facts that may affect the undertaking of job as described above.

4 Contract Period
4.1 If a candidate is selected to join JICA India as Administration Officer, there will be a minimum three (3) months probation period, and employment contracts will be subject to annual revision till the 3rd year. After 3 years from the initial date of hiring including the probation period, if both parties agree, the contract may be renewed to indefinite-term employment.
6 Working Hours
6.1 Basic working hour requirements are from Monday to Friday from 9:00 AM to 5:00 PM, whereas flexible working hours are also applicable, that attendance may be made between 8:30 to 10:00 AM. Office holidays are based on JICA India Calendar.
7 Monthly Salary
The indicative monthly salary will be INR 50,000 or more + conveyance, housing, and lunch allowances.
(The salary will be decided by taking into consideration of academic background and work experience.)
